How to Organize a Weekly Group Without WhatsApp Polls

If you organize something that happens every week, like a training session, Sunday football or a game night, you probably know the routine. Post a poll, remind people to answer, count heads, deal with the two people who drop out an hour before, and remember who still owes you for the pitch.

None of it is hard. It's the same small jobs every week. This post is about keeping those jobs small, with or without a tool.

What an organizer does each week

The weekly routine usually looks like this:

  1. Announce the next session. Date, time, place, anything special (a different pitch, a later start).
  2. Collect answers. Who's in, who's out, and who hasn't said anything yet.
  3. Chase the silent ones. A nudge in the chat, sometimes a direct message.
  4. Count spots. Especially when there's a limit: 14 players for a pitch, 8 lanes, one table for six.
  5. Handle drop-outs. Someone cancels, someone else wants the spot.
  6. Track money. Who paid their share of the court, the room or the pitch.
  7. Post the final count. So everyone knows if it's on and how many are coming.

Most of the time goes into steps 2 to 6.

Where the WhatsApp poll runs out

For a small group that always has room and never pays anything, a poll in the group chat is fine. Honestly, keep it.

It gets harder when the group grows or money is involved:

  • A new poll every week. Old polls stay in the chat, and someone always votes in last week's by mistake.
  • No limit. If 18 people vote yes for 14 spots, you sort it out by hand. Who was first? Who gets to play?
  • Plus-ones live in the chat. "Can I bring my brother?" is a message, and it doesn't show up in the count.
  • Money lives in your head. Or in a notes app, or on the back of a receipt.
  • The poll scrolls away. By Thursday it's buried under photos and memes, and people ask "is it on?" again.

A setup that works

These work with any tool, including a plain poll:

  • One fixed deadline. "Answer by Monday 8 PM" for a Tuesday session. After that, silence counts as out.
  • One place for answers. Poll or link, but only one. Answers in direct messages get lost.
  • First come, first served. Say it once, up front. It ends most discussions about spots.
  • A clear waitlist rule. When someone drops out, the next person on the list gets the spot and you let them know.
  • One tick per session for money. Settle up once a month instead of chasing every week.
  • Post the count once. The day before, with the link. One message instead of five.

How the group link works in JoinMyEvent

I built recurring groups into JoinMyEvent for this. The flow:

  1. You create the group with a free account: a name, the place, and up to three weekly times, like Tuesday at 6 PM and Thursday at 7 PM. Extra dates, like a race weekend, go in by hand.
  2. You post one link in the group chat. It stays the same for every session.
  3. Members open it, type their name once and tap in or out. No app and no account. The browser remembers them, so next week it's one tap. On a new phone they tap their name in the member list.
  4. Each week you copy a short text with the next date, the count and the link, and post it in the chat.

One group is free, with in and out answers, plus-ones and the last 8 sessions of history. With the Host Pass or Lifetime you also get a spot limit with an automatic waitlist, a tick for who paid, the full history with CSV export, more than one group, and a co-organizer.

A few things it doesn't do, so you know up front:

  • There are no automatic reminders. You post the weekly text yourself. It takes a few seconds.
  • Waitlist moves are silent. Someone who moves up sees it the next time they open the link, so a quick message helps when it's close to the session.
  • Anyone with the link can tap a name. Share it with the group only. As the organizer you can change any answer, remove members and make a new link.

Group data stays while the group is active. A group with no activity for 12 months is deleted with all its members and answers.

If you try it with your group, I'd like to hear what's missing. The contact form goes straight to me :)
